Who we are

This Privacy Policy explains how Snaplot (“Snaplot”, “we”, “us”, “our”) collects, uses and protects information when you use our software, website (snaplot.co.uk) and related services. Snaplot is a trading name operating in the United Kingdom.

What we collect

Account data

  • Email address, display name and password (hashed)
  • Country, currency preference
  • Billing details processed through Stripe (we do not store full card numbers)

Catalogue data

  • Photographs you upload of auction lots
  • AI-generated and user-edited text describing those lots
  • Catalogue metadata (auction reference, lot numbers, estimates, dates)

Usage data

  • Server access logs (IP, user-agent, request timestamp) for security and debugging — retained 30 days
  • Application logs (which features were used, error reports) for service improvement — retained 90 days

What we don’t do

  • We do not sell your data
  • We do not use third-party advertising trackers on our marketing pages
  • We do not train external AI models on your photos or descriptions
  • We do not share your catalogue contents with other Snaplot customers

How we use your data

  • To provide the service: generating titles, descriptions, condition reports and estimates from the photos you submit
  • To bill you: processing payments via Stripe and tracking credit consumption
  • To support you: responding to questions, troubleshooting, sending essential service emails
  • To improve the service: aggregated analytics about how the platform is used (no individual identification)
  • To meet legal obligations: tax, fraud prevention, lawful requests from UK authorities

Where your data lives

Snaplot is hosted on UK-based servers. Photographs and descriptions are stored on our infrastructure in the United Kingdom. AI inference may be processed by our model provider Google Cloud Vertex AI (typically EU regions, fall-back to US for global model availability). No raw photo or description content is retained by the model provider beyond the inference window.

How long we keep it

  • Active account data: while your account is open
  • Catalogue content: per your account settings (default 365 days, configurable)
  • Billing records: 7 years (UK statutory requirement)
  • Cancelled accounts: photos and lots deleted within 30 days of cancellation; account record retained anonymised for 7 years

Your rights under UK GDPR

  • Access: request a copy of the data we hold about you
  • Rectification: correct anything that’s wrong
  • Erasure: ask us to delete your data (subject to legal retention)
  • Portability: export your catalogue data via the built-in export tools (XLSX/CSV/ZIP)
  • Object: opt out of any processing not strictly necessary to deliver the service
  • Complain: lodge a complaint with the Information Commissioner’s Office (ico.org.uk)

Cookies

Snaplot uses essential cookies only — for login session management and storing your in-app preferences (theme, language, last-used catalogue). We do not use tracking, advertising or analytics cookies on the marketing site at this time.

Children

Snaplot is not directed at, and not intended for use by, anyone under 18.

Changes to this policy

We may update this policy as the service evolves. Material changes will be notified by email to active account holders and announced on this page with the revised date below.
